Terms and Conditions

Welcome to TJ Flow & Co. (“we”, “our”, “us”). These Terms and Conditions (“Terms”) govern all 1-to-1 Pilates services provided by us, including mat and reformer sessions (the “Services”, “sessions”). By booking or attending a session, you agree to be bound by these Terms.
1. Data Protection Notice
- The nature of our business and the provision by us of sessions to you means that we will collect and process some of your personal data from time to time. We will only do so in accordance with our Privacy Notice, which you can read in our Privacy Policy section on the website www.tjflow.co.uk and Client Consent form.
2. Eligibility
- You must be at least 18 years of age, to book and participate in our Services.
- By booking a session, you confirm that you are physically fit and able to participate in Pilates safely.
3. Health & Medical Disclaimer
- Pilates involves physical activity. You acknowledge that participation carries inherent risks.
- It is the Client’s sole responsibility to notify TJ Flow & Co. before attending any session, of any circumstances affecting their health which may be exacerbated through continued use of the Studio and/or which may have arisen or worsened since their last session at the Studio (if any).
- TJ Flow & Co. reserves the right to refuse access to any Clients if, in its absolute discretion, it considers that the health of the individual concerned may be endangered using Studio facilities.
- Clients must fill in the client consent form and PAR-Q medical Questionnaire prior to their first visit to the studio. It is the responsibility of the client to ensure the questionnaire is completed and is truthful to reflect the current condition of the client. It is the responsibility of the client to update the Health & Safety records if the condition of the client has changed.
- Our instructors are not medical professionals and cannot provide medical advice. Always consult your doctor before beginning any new exercise program.
- You participate in our Services at your own risk.
4. Bookings & Cancellations
- Sessions must be booked in advance via email (active@tjflow.co.uk).
- Cancellations require at least 24-hour notice period.
- You may change or amend your session any time before the 24-hour cancellation policy by contacting us at active@tjflow.co.uk.
- Late cancellations or no-shows will be charged in full.
- Late is defined as anyone arriving 10 minutes past the start time of the class as communicated to you via confirmation email at the time of booking. For example, if the session is due to start at 9:30 and you arrive after 9:40 you may not be allowed to attend the session.
5. Payments & Refunds
- All sessions must be paid for in full in advance or on the day of the session if cash is your preferred payment method.
- Accepted payment methods: bank transfer, cash.
- All payments will be collected on a pay as you go basis until further packages are released.
- All payments made to Toni Doherty at TJ Flow & Co. are non-refundable unless in accordance to our 24-hour cancellation policy in which you are entitled to the full amount of the class at the time of booking at our discretion.
6. Instructor Responsibilities
- Our instructors will provide professional, safe, and supportive guidance throughout each session.
- We reserve the right to refuse service if we believe participation may put a client’s health at risk.
- The studio will be kept clean and in a hygienic manner by our instructors. Please do not hesitate to notify your instructor if you feel that anything is not up to standard or broken. This includes any equipment utilised during your classes.
- Know that your instructor is first aid trained and will accommodate you in the event of a crisis.
7. Client Responsibilities
You hereby accept that you will:
- Arrive 5 minutes before your scheduled session to ensure times run smoothly and avoid delaying other client’s sessions.
- Wear suitable and appropriate clothing for Pilates practice, such as leggings, shorts, tops, sports tops/vests or t-shirts.
- Footwear should be removed before using/standing on any of the equipment.
- If you are participating in a reformer Pilates session, grip socks are a non-negotiable requirement.
- If you are participating in a mat Pilates session, grip socks or bare feet are the only suitable option.
- Follow all safety instructions provided by your instructor.
- Act responsibly and sensibly at ALL times when present in the building/studio.
- Not participate in any sessions if you are under the influence of alcohol or non-prescription drugs.
- Adhere to ALL safety warnings and instructions displayed or given by a TJ Flow & Co member of staff.
- Ensure you have no physical/medical conditions or critical diseases that would put you at risk when using our equipment in our studio or participating in our sessions.
- Where relevant you will seek medical advice from a GP in respect of your participation in our sessions and where required by TJ Flow & Co. provide us with a copy of such advice.
- Notify your class instructor of any injury or pregnancy and comply with any specific instructions your instructor may give you or leave the class if it is deemed inappropriate for you to continue further by your instructor.
8. Health and Safety
- We request clients make their way to the seated waiting area upon entering and remove footwear before approaching the equipment.
- Clients are discouraged from walking around the studio barefoot unless specifically attending a mat Pilates session.
- Clients will be provided with a cloth and spray or antibacterial wipes to wipe down any accessories and equipment utilised during their class.
- In the event of a fire, Clients are asked to make their way to the nearest available exit (the front door to the building).
- The building has a fire alarm in the event of a fire and has clear fire evacuation route signs which will be showed to you on a regular basis.
- Smoking or vaping is strictly forbidden in the Studio and on the premises.
- You acknowledge that you must behave accordingly and follow all safety instructions we may give you as not to hurt or injure yourself or others.
9. Liability Limitation
- TJ Flow & Co. cannot be held responsible for any classes, instructor and/or item of Pilates equipment not being available for whatever reason.
- We reserve the right to make alterations to the classes, instructors and/or equipment, provided to Clients, without notice and in its absolute discretion we will not be liable for any loss occasioned by such alterations except in so far as such loss is by law incapable of exclusion.
- To the maximum extent permitted by law, TJ Flow & Co. is not liable for injuries, accidents, or health issues arising from participation in Pilates sessions.
- The information available on our website www.tjflow.co.uk, and the services supplied in connection with or at TJ Flow & Co. do not constitute medical advice and it is your responsibility to determine, through obtaining appropriate medical advice, that you are fit and well and that such contents and services are suitable for you. It is not our responsibility to do so.
- We are not responsible for the loss or damage of personal belongings during sessions.
10. Termination of Services
- We reserve the right to suspend or terminate services if:
- A client repeatedly cancels without notice (maximum of twice).
- A client engages in inappropriate, unsafe, or disruptive behaviour.
11. Governing Law
These Terms shall be governed by and construed in accordance with British law and the parties hereby agree to submit the exclusive jurisdiction of the British courts.
12. Changes to Terms
We may update these Terms from time to time. The latest version will always be available at www.tjflow.co.uk or by request. Continued use of our Services after updates constitutes acceptance of the revised Terms.
13. Third Party Rights
These Terms establish a contract between you and us. No other person shall have the right to enforce any of these Terms.
14. Contact Us
Life happens and we are aware that not all circumstances are in your control. Please reach out to us if you have any questions, concerns, or unforeseen circumstances that impact you getting to us as scheduled. Each situation will be treated with respect and based on circumstance. Please send all communications via email to active@tjflow.co.uk and we will respond at our earliest convenience within 2 working days from when the message was received.
We may contact you using any of the contact details you provide to us when you sign up, which may include via email, telephone or text message. Our Privacy Policy sets out how we may process your personal data, which includes the contact details you provide to us.
